Description of Duties:

The Associate Director Duties and Responsibilities involves developing, administering, assessing, growing, and sustaining a portfolio of programs offered in an academic year and special sessions, focusing on college students, professionals, and lifelong learners throughout NYS and beyond. The Associate Director works closely with the OA Director, ESF Colleagues, and external collaborators on the overall creation, implementation, and institutionalization of the Open Academy programs and the Teaching and Learning Center. The duties include generating the SUNY NCIA report, ongoing contributions to the leadership role in the unit, planning, assessment, and the generation of budgets and reports related to the position and objectives. The Associate Director may serve as the Director's designee at meetings.

Administrative Responsibilities:

  • Participate in SUNY's Continuing Education Collaborative Meetings, Directors of Online/Distance Learning Environments (DOODLE), Continuing Education Associating of NY (CEANY), and other appropriate Continuing Education professional organizations.

  • Administer, manage, sustain, and grow a portfolio of quality professional education programs that provide professional credits when appropriate, including program planning and development, marketing and promotion, development of a budget, budgetary management and reporting, effective use of registration and reporting system, overall program and onsite administration, collect and analyze assessment data and prepare reports.

  • Maintain NYS Professional Licensure Certification (Engineers, Landscape Architects, and Architects) through the NYS Office of Professions and AIA Chapter of Central NY.

  • Assist in the administrative oversight of the online certificate programs, including communication with instructors for online courses, reviewing program, and quality, responding to student inquiries, and advocating for effective and accurate communication with students.

  • Assist in exploring the viability of additional online and non-credit programs that may be added to the college's portfolio of online-enabled education, with supervisor support and direction.

  • Assist in new program proposal development for proposed online programs in collaboration with program faculty and facilitate the completion and submission of required forms to SUNY and NYSDE, as needed.

  • Develop, launch, and evaluate new programs (Microcredentials, Graduate Programs) - Lead the development of new programs and policies related to online education.

  • Oversee daily operation of advanced education programs and administrative components of online education (specifically reporting, budgeting, and marketing)

  • Identify professional education opportunities that align with the College's mission for conferences, short-term education programs, and online education.

  • Serve as a leader for greater integration of online students into on-campus activities, initiatives, and ensure ongoing communication with community colleges, and ESF faculty, and community.

  • Assist with the development, management, and monitoring of Advanced Academics grant applications, awarded grants, ongoing partnerships, and memorandums of agreement.

  • Collect and analyze Open Academy program data relevant to the SUNY Non-Credit Instructional Activity (NCIA) Survey on behalf of ESF and submit to SUNY admin.

    Functional Relationships

  • Works with faculty and staff throughout campus, coordinates with and, as necessary, provides backup support to other unit staff, and works with off-campus faculty, professionals, and others (e.g. advisory councils, vendors).

  • OA Curriculum Coordinator/OA Academic Affairs Committee Rep

  • Assist in identifying emerging and ongoing needs of ESF campus faculty for improvement in online education & course/program design, planning, & development and aligning them with activities conducted by the Teaching and Learning Center (TLC).

  • Audit open, inactive Research Foundation Multiple Sponsor accounts to reconcile the income and expenses, distribute funds, and close the accounts, in collaboration with the Office of Research Programs and Open Academy Staff.

  • Monitor transactions taken in through ESF's Research Foundation (RF) authorize.net account and monitor and manage transactions within the ESF account at SUNY RF Central Office set up for professional education programs, in partnership with the ESF Office of Research Programs and ESF Business Office, until a long-term solution is identified and agreed upon.

  • Provide administrative oversight, planning and development, and communication with the unit and with other administrative units to enroll and completely online students competently and effectively. This includes assisting with collecting and analyzing unit-level data and preparing reports for the Business Office and Office of Institutional Research.

  • Consult with OA staff on the strategic growth of their functional areas.

  • International studies and network coordinator.

  • Support the expansion of special sessions opportunities.

    Academic Unit Service

  • Assist in the oversight of the B.S. completion program in Sustainability Management including communication with instructors for online courses, reviewing program quality, responding to student inquiries, and advocating for effective and accurate communication with students.

  • Serve as Curriculum Coordinator within the Unit - Monitor professional development, authorization timelines, curriculum, and syllabus development.

  • Assist in programmatic evaluation for curriculum residing in the Open Academy

  • Mentor faculty about online teaching, research, and connection to campus activities.

  • Contribute to the university-level dialogue on procedures and policies that encourage the growth of the OA and online education.

    Teaching Responsibilities:

  • Teach one online course per semester in the Sustainability Management Program aligned with academic/professional background.

  • Refresh course content annually.

  • Supervise students who are conducting independent study and internships.

    Job Requirements:

Required Qualifications:

  • Master's degree in a related field

  • Professional/administrative experience in a college, university, or other relevant context
