Monday- Friday 8:30 am to 5:00 pm

We're on the lookout for a motivated professional to take charge of front desk operations and additional administrative tasks as needed. In this role, you’ll deliver exceptional customer service to clients, and provide invaluable support in various administrative tasks. Responsibilities:

  • Welcome clients with warmth and professionalism, ensuring a hospitable environment by offering refreshments from our coffee bar to enhance their experience.

  • Address inquiries from clients regarding services, facilities, and general information, providing accurate and helpful responses to meet their needs.

  • Manage incoming calls efficiently directing calls to the appropriate personnel and taking detailed messages when necessary.

  • Handle the organization of incoming and outgoing mail and packages, overseeing sorting, distribution, and timely delivery to ensure seamless operations.

  • Assist financial advisors with various administrative tasks such as scheduling appointments, preparing documents, and meticulously maintaining client records.

  • Conduct routine inventory checks and promptly reorder office supplies as necessary to uphold smooth day-to-day operations.

  • Contribute to social media management efforts by creating engaging content, scheduling posts, and actively interacting with online communities to foster a vibrant online presence.

Skills and Experience Required:

  • Prior experience in a receptionist or administrative role is preferred.

  • Exceptional interpersonal and communication skills, both written and verbal, are essential for effective interaction with clients, and team members.

  • Strong organizational abilities are crucial, with a proven ability to multitask and prioritize tasks efficiently to meet deadlines.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is necessary, along with familiarity with standard office equipment.

  • Demonstrated capability to maintain confidentiality and handle sensitive information with the utmost discretion.

  • A positive attitude, professional demeanor, and dedication to delivering outstanding customer service are non-negotiable traits.

  • Flexibility is key, as the role requires adapting to changing priorities and working effectively in a dynamic, fast-paced environment.

  • Knowledge of social media platforms and basic marketing principles is advantageous.
