Job Details The Office Coordinator is responsible for performing and overseeing all front office functions for the Outpatient Physical Therapy service including patient intake, scheduling, registering, tracking insurance authorizations and Plans of Care, EPIC media scanning, answering phones and providing general secretarial support functions. RESPONSIBILITIES: Oversees all of the office functions in Outpatient Physical Therapy Efficiently schedules patients. Runs Referral Report daily to see new patient referrals, calling patients on the list and updating their referral status. Greets and checks in all patients in a helpful and courteous manner, including EPIC arrival/check-in, prior to patient assessment/treatment. Answers the phones, checks voice mail messages and returns patient calls in a timely manner. Along with Registration, ensures that timely and accurate insurance verification is performed on all patients prior to initial evaluation Ensures timely and accurate registration of new patients in EPIC including completion of all required registration fields, attaching referrals to appointments and scanning required forms. Ensures that accurate insurance initial and follow up authorizations are obtained and entered into EPIC registration and referral notes. Ensures that patient benefits are accurately tracked, documented, and communicated to the patient. Checks initial benefit spends on new Medicare patients and initiates Medicare Tracker. Monitors EPIC work queues for account errors and ensures corrections are made. Tracks returns of Plans of Care from physicians, scanning them into EPIC and ensures timely returns of signed Plans, including contacting physician offices. Ensures adequate office supplies are on hand and coordinates the ordering of new supplies. Creates New Patient packets. Provides patients who are being discharged with departmental satisfaction surveys. Assists Outpatient PT Coordinator with scheduling staff coverage as needed. Coordinates/participates in the training of PT Aides with regards to the appointment scheduling function. Demonstrates an ongoing commitment to customer service excellence. Demonstrates a helpful and courteous attitude during all interactions with patients, family members and staff. REQUIREMENTS AND QUALIFICATIONS: Education: High school diploma/GED Skills: Office Coordinator must have strong managerial, communication and customer service skills and be able to work in a fast paced front office environment. Must be able to multitask, prioritize duties, and have strong organization skills. Experience: Experience in an outpatient PT setting is preferred but not required. Salary Range USD $22.60 - USD $31.64 /Hr. This range serves as a good faith estimate and actual pay will encompass a number of factors, including a candidate’s qualifications, skills, competencies and experience. The salary range or rate listed does not include any bonuses/incentive, differential pay or other forms of compensation that may be applicable to this job and it does not include the value of benefits.
