Advertised Summary Job Description Reporting to the Executive Director, Administration and Planning for Global Programs the incumbent provides budget and operational support for Global Programs.
-Assist with the international and local financial activities for Global Programs including, but not limited to, the accurate and prompt processing, verification, and coding of expenses for all invoices, TBERs (travel and business expense reimbursements), check requests, travel advances, cash deposits and wire transfers, in Columbia's financial systems. Resolve inquiries about payment status for internal and external constituencies
-Reconcile all departmental financial accounts against the Columbia's financial systems and internal records for the purpose of budget tracking, analysis, forecasting and planning. Prepare journal entries and IDI transactions to properly record and re-classify expenses. Help prepare monthly, quarterly, as well as ad hoc reports, to track and analyze program expenditures. Support the reconciliation of the program bank accounts and posting of expenses. Assist in financial closeout of projects. Maintains accurate unit files.
-Participate in the development, analysis and monitoring of budgets at the direction of the Executive Director. Analyze budget versus actual reports for assigned activity.
-Coordinate the Columbia-approved study abroad program billing process including working with relevant parties to send student sponsorship letters, process tuition bills, track payment status and reconcile transactions.
-Support the preparation of hiring and appointment paperwork for administrative and academic appointments for global education programs. Process bi-weekly payroll for office casual, temporary, and/or student workers. Maintain accurate appointment files according to University policies and helps ensure compliance with hiring processes.
-Perform other related duties as assigned.
Minimum Qualifications for Grade
Applicant MUST meet these minimum qualifications to be considered an applicant Bachelor's degree and/or its equivalent required. At least two years of related experience required.
Additional Position-Specific Minimum Qualifications
Applicant MUST meet these minimum qualifications to be considered an applicant Must be detail-oriented with strong organizational skills and have the ability to process large volume of vouchers/invoices and be able to prioritize and manage multiple projects simultaneously. Must be a self-starter and capable of operating with minimal supervision. Excellent interpersonal, oral, and written communication skills with a strong customer service focus essential. Ability to exercise discretion and handle confidential information essential as well as ability to exercise tact and diplomacy. Proficiency in Microsoft Office applications required, specifically Excel skills. Direct experience or aptitude to compile, manipulate, and analyze data and present financial data to end-users in a useful manner desirable.

Preferred Qualifications Preference for experience in higher education, non-profit, and/or complex organization, especially with supporting global education activities. Knowledge of the PeopleSoft Financials or a similar type financial management application preferred.
