Columbia University Administrative Coordinator in New York, New York

Position Summary

With a dual reporting relationship to the Associate Dean for Global Health and the Assistant Director for Global Health & Initiatives, the Administrative Coordinator will assist with the daily operations of two programs at Columbia University School of Nursing (CUSON): Global Health Research and Sexual Minority Women’s Health Research.

S/He will provide administrative support in research and related strategic initiatives, while working closely with the Associate Dean and Assistant Director, affiliated research faculty, postdoctoral fellows, PhD students, and other divisions to continually improve scholarship and research efforts.

The Coordinator will also work closely with the Global Initiatives team on collaborative projects and efforts to support Columbia Nursing’s overall global mission.


  • Specific responsibilities will include:

  • Assisting in the coordination of faculty and student visitor requests to Columbia Nursing from global institutions, including obtaining necessary approvals, preparing visa documents, requesting space and computer set-ups, and handling other related logistics;

  • Tracking global research experiences and visitors;

  • Assisting the Associate Dean in editing reports, creating presentations, formatting manuscripts, and organizing information for the submission of grants applications;

  • Providing administrative support for specific research and training grants including organizing and collating data, performing data entry, assisting with literature reviews, etc.;

  • Working with faculty to assist in preparing Fulbright and Fogarty award applications;

  • Scheduling and handling the logistics for various meetings, workshops, seminars, conferences, and other events including booking spaces, coordinating room set-ups, ordering catering, etc.;

  • Coordinating the communication efforts for summits, conferences and other special events, including creating and sending invitations, tracking RSVPs, etc.;

  • Handling travel arrangements and registrations for the Associate Dean, including organizing and processing Travel & Business Expense Reports (TBERs) and monitoring fund accounts;

  • Providing administrative assistance to the Associate Dean, including managing her calendar, scheduling conference calls, responding to emails, etc.;

  • Working collaboratively with School and University offices to meet the research/scholarship goals of the Global Health Division, including the Offices of Human Resources, Finance & Accounting, Grants Management, Diversity, Student Affairs, etc.; and

  • Performing other projects and responsibilities as needed and assigned.

Minimum Qualifications

Requires a bachelor's degree or equivalent in education and experience, plus a minimum of three (3) years of research-related experience.

This position requires the ability to manage time effectively, handle a wide variety of complex tasks simultaneously, and work accurately and efficiently. Strong attention to detail, solid organizational skills and the ability to consistently meet deadlines are imperative skills for the incumbent in this role to possess. The Administrative Coordinator must be a self-starter and a strong team player with excellent verbal, written and interpersonal skills. S/He will also be proficient with Microsoft Outlook, Word, Excel, and PowerPoint.

The individual in this position must have the flexibility to work extended hours when necessary.

Preferred Qualifications

A Master’s degree and experience working in a university setting are strongly preferred for this role.

Applicants with an interest in research, specifically in global health and/or research with vulnerable populations, will be given special consideration. Prior experience in using statistical research tools is also a plus.
