Columbia University Administrative Assistant in New York, New York
The Administrative Assistant will oversee, plan and direct the academic offices of the Surgical Director of Renal & Pancreas Transplant Program and (2) surgical faculty. S/he will provide high-level administrative support and be responsible for coordinating a broad range of activities such as grand rounds, conferences/lectures and complex travel arrangements for internal and visiting faculty.
Provides front-line administrative support for a busy office
Answers telephones, greets and directs visitors
Screens calls and visitors; responds to telephone and in-person inquiries
Identifies and directs non-routine inquiries to appropriate office personnel as needed
Coordinates all aspects Transplant Grand Round Lecture Series
Maintains multiple academic calendars and is aware of conflicting clinical responsibilities.
Schedules and coordinates complex travel arrangements for internal and visiting faculty/guests/visitors
Process reimbursement requests through both internal and external funding sources.
Resolves problems and provides support to officers
Receives, tracks, and distributes incoming and outgoing mail
Maintains and creates office file system;
Facilitates IT support and ensures all equipment is up to date and working
Places orders and maintains office supply inventory
Maintains faculty’s on-line presence and ensures web profiles are up to date and accurate.
Requires a bachelor's degree or equivalent in education and experience, plus (2) years of related experience
- Effective interpersonal and communication skills preferred.
Minimum computer skills: Intermediate to advanced level MS Office skills, Adobe General skills: Qualifications for Candidates include but are not limited to the following:
