The position reports to the MNCCTN Administrative Operations Manager and provides proactive and timely administrative support for a wide-range of programmatic activities. A successful candidate will be a proactive problem solver, have well-developed time management and prioritization skills, be willing to take the initiative, and be a team player. Responsibilities Include: 40% - Programmatic Coordination Monitor and update Google Groups, Google Calendars, organizational charts, programmatic documents, master documents, and update annual timelines to help teams plan for upcoming programs and events Assist with onboarding of new internal staff, ordering workstation technology, ensuring appropriate access, orienting to shared team resources Monitor departmental email accounts, responding and triaging messages to appropriate team members Schedule group meetings with attendees from multiple organizations, ensure attendees have necessary information and resources prior to the meeting, meeting space is prepared, and technology needs are met Maintain committee membership and voting rolls ensuring the availability of accurate information Committee Meetings: attend, manage Zoom logistics, record meeting attendance and minutes, assist with post-meeting follow-up Assist with formatting documents and updating presentations, ensure documents are accessible to internal and external partners Make updates to MNCCTN Intranet (Google Site) as requested 30% - Administrative and Office Support Maintain the organization, cleanliness and scheduling of shared spaces such as conference, break, and supply rooms; maintain keys and space access Initiate and resolve issues related to shared technology and space with Facilities Management and IT Services as needed Assist with scheduling for Program Directors and Managers Maintain inventory of office supplies; assist with organization of event supplies and promotional items Assist with shipping labels, mailing, and coordinating package pickup and drop-off Initiate requests and purchases in the UMN Financial system such as setting up suppliers, purchase orders for goods and services, and check requests. Ensure financial transactions are processed in a timely manner Reconcile purchasing card and travel card transactions Serve as the initial point of contact for basic financial questions. Resolve issues as needed. 15% - Events and Travel Organize local, in-state, and domestic travel arrangements including Fleet Services, lodging, conference registrations, flight arrangements, etc. Assist with event preparation for community outreach events and internal staff training and teambuilding events 10% - Other duties and special projects as requested 5% - Professional Development Qualifications All required qualifications must be documented on application materials Required Qualifications: BA/BS or a combination of related education and work experience equal to four years Proficient with MS Office, Zoom, and Google Suite Demonstrated experience managing calendars and arranging complex meetings Demonstrated ability to quickly learn new systems, technologies, and processes Excellent attention to detail and time management skills Willingness to be flexible, adapt quickly in a fast-changing environment Ability to complete required UMN financial systems trainings Availability for periodic work at events on evenings and weekends, occasional travel within Minnesota Hybrid schedule required; 2 days in office at minimum Preferred Qualifications: Experience working with one or more professionals in leadership roles (e.g. directors, associate directors, managers) Demonstrated experience in customer service and working with a wide variety of stakeholders Strong i terpersonal and communication skills, both oral and written Demonstrated capacity for working in a collaborative environment as a team member About the Department The Minnesota Cancer Clinical Trials Network (MNCCTN) is a multi-site cancer clinical trials network. The network, led by the Masonic Cancer Center (MCC) at the University of Minnesota, brings cancer clinical trials to community sites across the state. MNCCTN works collaboratively with MCC's Community Outreach and Engagement (COE) Program, whose mission is to reduce the burden of cancer in Minnesota with information about cancer prevention and treatment.
