Financial Aid Technician

Classification Summary:

This class is the first level in the Financial Aid series. The incumbent serves as the primary assistant to the public and initial contact in the Office of Financial Aid, manages the FAFSA station, and supports processing of student financial aid. Responsibilities include helping students, staff, and faculty understand the financial aid processes, scheduling financial aid appointments, and determining appropriate actions based on a variety of data including federal, state, and institutional policy and procedure. The individual must possess exemplary customer service skills when communicating and responding to questions, and must accurately document outcomes and complete processing.

Minimum Education and/or Training and Experience:

Associates degree in related field or two-year technical certificate, and two years experience.

Classification Duties:

  1. Assist students and internal personnel on matters pertaining to the financial aid process, serve as the initial point of contact for the Office of Financial Aid, and manage the FAFSA station; respond to phone, email, and Chatbot inquiries; schedule student appointments with the Financial Aid Advisors and prepare all applications for processing. (B2)

  2. Collect and analyze a variety of complex data and effectively work with highly confidential records and sensitive circumstances; consider detailed regulatory guidance when determining financial aid awards and processes, summarize findings in applicable reports, and provide accurate responses in communications. (B2)

  3. Review, process, and maintain records and reports utilizing BANNER, FAA, Microsoft Access, and third-party systems including ProEducation Solutions; ensure financial aid recipients are correctly advised and paid, and that all actions comply with applicable federal, state, and institutional policies and procedures. (B2)

  4. Prepare Financial Aid Appeals, Dependency Override requests, and reviews of Unusual Enrollment History for consideration by the Financial Aid Appeals Committee or appropriate Financial Aid Advisor, enter results in BANNER and notify students of the appeal outcomes with appropriate follow up steps as needed; review appropriate reports to ensure financial aid probation students are adhering to the conditions of their financial aid contracts or remove aid as needed. (B2)

  5. Act as the PeopleAdmin Student HR Administrator; coordinate the institutions student worker positions funded by college payroll and reimbursed by federal work-study; submit hiring proposals, track student schedules for audit purposes, and work with student supervisors to determine work-study eligibility for new and rehired students. Supervise the departments student worker. (B2)

  6. Monitor Federal Supplemental Education Opportunity Grant (SEOG) and Federal Work-Study spending; ensure students receiving campus-based financial aid are eligible for funds by verifying financial need, academic standing, enrollment, and program of study; reconcile and help ensure U.S. Department of Education requirements related to student worker positions are met. (B2)

  7. Participate in the yearly update of financial aid forms, forward items for electronic conversion, manage the office files/archives and document imaging, and maintain up-to-date links and welcoming student financial aid information on the Jefferson College website. (B2)

  8. Oversee and carry out records management and reporting functions and maintain financial aid documents according to applicable government regulations and institutional guidelines. (B2)

  9. Perform other related duties of a comparable level/type as assigned. (B2)
