FirstService Residential Communications and Client Services Coordinator in Corona, California

Job Overview:

This is an opportunity for someone with a passion for content and a keen eye for editing, who is looking to expand their skillset. Has exceptional organizational skills and ability to multitask in a fast paced environment.

Compensation: $21-$23 per hour

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Job Responsibilities:

  • Write copy for newsletter articles, community App, E-blasts, events, and other content formats.
  • Proof all web, email, social media and print copy.
  • Organize and catalog content on the app and social media.
  • Manage the facility calendar and daily activities.
  • Manage all facility rentals by following rental procedures.
  • Ensure all customer service calls and related work orders are handled in accordance with established procedures.
  • Decision making responsibilities for safety, homeowner relations and policy/vendor issues.
  • Review and monitor community Policies and Guidelines.
  • Ensure homeowner inquiries regarding facility usage are handled in accordance with procedure.
  • Knowledge of all Community aspects and functions and the ability to communicate pertinent and accurate information to clients.
  • Represent professionalism and FirstService Residential's standards of operations to clients and fellow staff at all times.
  • Other items that may be required as part of job description based upon Board of Directors’ requests/supervisor, or as deemed appropriate.
  • Apply a pro-active approach to all areas of responsibility and strive for continued improvement and excellence throughout.
  • Organize all administrative files and perform annual association file cleanout in accordance with company standardized document retention policy, or at the direction of the Operations Manager.
  • Maintain an organized workspace according to company procedures.
  • Greet walk-in clients as appropriate.
  • Complete company training as assigned, attend all mandatory company functions and adhere to FirstService Residential operational procedures.
  • Conduct business at all times with the highest standards of personal, professional and ethical conduct.
  • May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
  • Perform any range of special projects, tasks and other related duties as assigned.

  • Must be well groomed and maintain professional demeanor at all times.
  • Must be literate and articulate in written form in order to prepare correspondence.
  • Must be able to handle multiple tasks.
  • Must be able to handle pressure and deadlines related to the job.
  • Must work effectively with co-workers, customers and others by sharing ideas in a constructive and positive manner; listening to and objectively considering ideas and suggestions from others; keeping commitments; keeping others informed of work progress, timetables and issues; addressing problems and issues constructively to find mutually acceptable and practical business solutions; addressing others by name, title or other respectable identifier, and; respecting in the diversity of our workforce in actions, words and deeds.
  • Must posses some business/customer service experience.
  • Excellent, effective, and diplomatic oral and written communication skills.
  • Previous work experience in a customer service environment.
  • Detail oriented with a high level of accuracy.
  • Ability to multi task effectively and efficiently with strong organizational skills.
  • Outstanding computer skills to include: heavy word processing using Microsoft Word, spreadsheets using Microsoft Excel. General database entry and maintenance preferred.
  • Experience with design and graphics software. Ability to post content on the internet through e-blast, social media and community app.
  • Forward thinking, proactive, and able to provide creative alternatives for problem solving.
  • People/community oriented – represents the vision of Terramor.
  • Must have use of a vehicle; possess current driver’s license and state-mandated vehicle insurance.

Education & Experience:

  • Completion of some college course work.
  • Proficient in English.
  • Strong general math skills.
  • Must be resourceful and a creative problem solver with strong ethical practices.
  • Ability to determine next level involvement for problem resolution.
  • Must demonstrate good judgment.
  • Ability to think and work independently as well as part of a team.
  • Must be able to work well under pressure and deadlines, as well as work independently and prioritize time effectively.

Physical Requirements & Working Environment:

  • Must be mobile enough to move around office in order to make copies, send mail and faxes.
  • Must be mobile enough to walk the facilities, including up and down stairs and exterior pool, landscape, parks and recreational areas.
  • Must be mobile enough to move around during outside events, stand for long periods of time and lift up to 25 pounds.
  • Must be able to hear in order to receive telephone calls and voice mail messages. Must be able to respond to requests and communicate to staff, coworkers, clients, and vendors; talking and hearing occur continuously in the process of communication.
  • Associate is required to work at a personal computer for extended periods of time, as well as talking on the phone for extended periods of time. Must be able to sit for extended periods of time.
  • Must have finger dexterity for typing/using a keyboard.

The work environment characteristics are office conditions at an onsite community. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Position is full time.The work schedule of this position will require from time-to-time, hours over 8 in a day and 40 in a week, evening meetings, possibly weekends and holidays and is subject to change based on business needs. Consistent and regular attendance required.
