Description:

The Program Coordinator- Disinfection and Distribution Services provides key local customer interface and day-to-day work direction for assigned personnel at specific account (s) to ensure disinfection, distribution, par level control and demand deliveries of equipment or devices, as well as customer satisfaction and Service Excellence per contract. May perform some technical service work.

Key responsibilities/essential functions include:

  • As directed, use knowledge of customer contract to ensure obligations are met. Prioritize service, assign personnel and follow up on commitments. May assist Director of Service (DOS) with employee appraisals, status changes, promotions and disciplinary actions.

  • Will function as on-site supervisor and is responsible for customer relationship at assigned site(s) in regards to the Disinfection and Distribution Team. Assure service quality via frequent customer contact and formal quality reviews. Represent hospital in regulatory agency inspections and may sit on hospital safety, infection, and/or equipment selection committee.

  • If site has Encompass, analyze customer equipment utilization, stocking levels, workflow, and related data to prepare key findings and develop recommendations, adjusting where needed.

  • If assigned, track and analyze financial performance with DOS. May recommend equipment, supplies, or process workflow improvements to customer and facilitate implementation of those recommendations. Implement procedures to provide quality, cost effective service. Responsible for prompt and accurate filing of expense, time and service reports, accounts payable and billing.

  • Resolve issues with disinfection and distribution of mobile medical equipment; Work with biomed to locate MME for planned maintenance (PM), as needed. Perform safety or environmental inspections required by customer and GE – adhere to GE policies, hospital procedures with required documentation and communication.

  • May maintain approved supply inventory, manage vendor service delivery processes in compliance with GE policies; guarantee team takes proper care of carts and tools.

  • Maintain knowledge of current standards for safe, effective cleaning, distribution, & use of mobile medical equipment.

  • Meet Health and Human Services, Environmental Health and Safety and/or other applicable regulatory requirements.

Quality Specific Goals:

Aware of and comply with the GEHC Quality Manual, Quality Management System, Quality Management Policy, Quality Goals, and applicable laws and regulations as they apply to this job type/position. Complete all planned Quality & Compliance training within the defined deadlines. Identify and report any quality or compliance concerns and take immediate corrective action as required. Ensure all work orders, vendor service reports, time and expense reports, activities, purchase orders and other duties are documented in an accurate and timely manner. Complete site safety inspection at defined intervals.

Required Qualifications:

  • High School diploma or equivalent

  • Two-year progressive team leadership experience effectively supervising and coaching personnel, as well as, effectively resolving customer relations issues.

  • Qualified experience in a customer service environment with resulting knowledge of customer account coordination.

  • Excellent communication skills with the ability to communicate process and business issues to the customer in an easy to understand manner.

  • Ability to lift at least 25 lbs., and able to be active on feet for extended periods of time.

  • Willing to travel outside of assigned region.

  • Must have a valid driver’s license.

Preferred Qualifications:

  • A.S. Degree or higher in Business Administration, Management, or has related healthcare or equivalent experience.

  • Knowledge of electronics or biomedical equipment

  • Previous experience managing financial and administrative requirements.

  • Excellent analytical and communication skills with the ability to communicate technical and business issues to the customer in an easy to understand manner.

  • Experience interfacing with both internal team members and external customers as part of a solution based service process.

  • Change agent and process oriented
